For the purposes of UAE data protection law we are the controller of the personal information described in this policy. That means we decide what is collected and why, and we are accountable for how it is handled.

What we collect

Information you give us. When you complete a form on our website, email us, call us or meet us, you may give us your name, company name, job title, email address, telephone number, country or city, the nature of your enquiry, your budget range or timeline, and any documents, briefs, drawings, financial information or other materials you choose to send us about your project.

Information we collect automatically. When you visit the website, our hosting and analytics providers may record your IP address, approximate location derived from it, device type, operating system, browser type and language, the pages you viewed, the time and date of your visit, how long you spent on each page, and the website or advertisement that referred you.

Information from cookies and similar technologies. Our website is built on Wix, which sets cookies that are necessary for the site to function (for example, to keep your session secure and remember your cookie choices) and, where you consent, cookies used for analytics and marketing measurement. Our separate Cookie Policy lists the cookies in use and explains how to change your choices.

Information from third parties. We may receive your details from a mutual contact who refers you to us, from a business networking platform where you have made your professional details available, or from publicly available sources such as a company website or a public register, where we are researching a prospective client or partner.

We do not ask for, and ask that you do not send us, information about health, religion, political views, biometric data, or similar sensitive categories. We do not collect payment card numbers through the website.

Why we collect it

We use your personal information for the following purposes, and we rely on the legal bases set out against each.

To respond to your enquiry and prepare a proposal. Without your contact details and a description of what you are building, we cannot reply to you or scope the work. Basis: performance of a contract, or steps taken at your request before entering one.

To deliver consultancy services under an engagement. This includes managing the project, corresponding with you and with suppliers and specialists on your behalf, and producing deliverables. Basis: performance of a contract.

To operate, secure and improve the website. This includes diagnosing faults, preventing abuse and fraud, measuring which pages are useful and understanding where our visitors come from. Basis: our legitimate interests in running a functioning and secure website; consent, where analytics cookies are involved.

To send marketing communications about our services, sectors and published insights, where you have asked to receive them or where you are an existing client. Basis: consent, or legitimate interests in the case of existing clients. See the next section.

To meet legal, accounting, tax, audit and regulatory obligations, including record-keeping required of a UAE-licensed entity. Basis: compliance with a legal obligation.

To establish, exercise or defend legal claims, where that becomes necessary. Basis: our legitimate interests and compliance with legal obligations.

We do not sell your personal information. We do not use it for automated decision-making that produces legal effects for you, and we do not profile you in that sense.

Marketing communications

If you subscribe to our insights or ask to be kept informed, we will email you about our work and the sectors we operate in. Every email we send contains a one-click unsubscribe link, and you can also unsubscribe at any time by emailing connect@code55.co. Withdrawing consent to marketing does not affect any other correspondence relating to a live enquiry or engagement, and it does not affect the lawfulness of anything we sent before you withdrew it.

Who we share it with

We share personal information only where there is a reason to, and only to the extent needed. The categories of recipient are:

  • Service providers who run our infrastructure — website hosting and forms (Wix), email and document storage, analytics, and customer relationship management. They process data on our instructions and are not permitted to use it for their own purposes.

  • Specialists within our delivery network — architects, interior designers, kitchen consultants, contractors, recruiters, accountants, lawyers, licensing agents, technology developers and similar professionals, where their involvement is part of the work you have engaged us to deliver. We share only what that specialist needs, and we put confidentiality obligations in place.

  • Our professional advisers — accountants, auditors, insurers and lawyers, where necessary for them to advise us.

  • Authorities and regulators, where we are required to disclose information by law, by a court, or by a competent authority in the United Arab Emirates or another relevant jurisdiction.

  • A buyer or successor, if our business or part of it is sold, merged or reorganised, in which case your information may transfer as part of that transaction.

We do not share your enquiry or project information with anyone else without asking you first.

Where your information is held

Our website platform, email and storage providers operate data centres in several countries, which means your personal information may be stored or processed outside the United Arab Emirates — including in the European Union and the United States.

Where information leaves the UAE, we take reasonable steps to ensure it remains protected to a standard consistent with UAE data protection law, by using established providers that offer contractual data protection terms and, where applicable, standard contractual clauses.

If you would like to know where a specific category of your information is held, write to connect@code55.co and we will tell you.

How long we keep it

Enquiries that do not become engagements - Up to 24 months from last contact, then deleted

Client and project records - For the duration of the engagement and 5 years afterwards, to meet UAE accounting, tax and audit requirements and to defend potential claims

Accounting and tax records - As required by UAE law, currently a minimum of 5 years

Marketing subscriber lists- Until you unsubscribe, and then only a suppression record so that we do not contact you again

Website analytics - In aggregated or anonymised form; identifiable records are retained no longer than needed for the purpose

Where we no longer need information, we delete it or anonymise it so that it can no longer be linked to you.

Your rights

Subject to the conditions and exemptions in UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data, you have the right to:

  • be informed about how we use your personal information — which is the purpose of this policy;

  • access a copy of the personal information we hold about you;

  • have inaccurate information corrected or incomplete information completed;

  • have your information deleted, where we no longer have a reason to keep it and no legal obligation requires us to;

  • restrict or object to our processing, including processing based on legitimate interests;

  • withdraw consent at any time, where we relied on consent;

  • receive your information in a portable, machine-readable format, or have it transferred to another controller, where that is technically feasible;

  • not be subject to automated decision-making that has a legal effect on you; and

  • complain to us, and to the competent UAE data protection authority, if you are unhappy with how we have handled your information.

To exercise any of these rights, email connect@code55.co with the subject line “Data request”. We will acknowledge within 5 working days and respond substantively within 30 days. We may ask you to verify your identity before we act, so that we do not disclose your information to someone else. There is no charge for a reasonable request.

Security

We protect personal information with measures proportionate to the risk: access to client files is restricted to the people working on the engagement; accounts are protected by strong, unique credentials and multi-factor authentication where the platform supports it; data in transit to and from our website is encrypted using TLS; devices are encrypted and kept updated; and confidentiality obligations are written into our agreements with staff and delivery partners.

No system is completely secure, and we do not claim otherwise. If a breach of your personal information occurs that is likely to cause you harm, we will notify you and the competent authority as required by UAE law, and we will tell you what happened, what we are doing about it and what you may want to do.

Third-party websites

Our website and our published insights may link to other organisations’ websites. Following such a link takes you outside our control, and this policy no longer applies. We are not responsible for the content or privacy practices of those websites, and we encourage you to read their own privacy policies.

Children

Our website and services are intended for businesses and the professionals who run them. They are not directed at children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, write to connect@code55.co and we will delete it.

Governing law

This policy, and the handling of personal information described in it, are governed by the laws of the United Arab Emirates, including UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data and the regulations issued under it. Disputes are subject to the jurisdiction of the competent courts of Dubai, United Arab Emirates.

Changes to this policy

We may update this policy as our services, our systems or the law change. The “last updated” date at the top always reflects the current version. If a change materially affects how we use your personal information, we will take reasonable steps to tell you — by notice on the website or, where appropriate, by email — before it takes effect.
